General Cap-IM Event Guidelines



Event Requirements
WORK REQUIREMENTS
All [community profile] cap_ironman event works must be complete, stand-alone works. Unless a specific exception is given in the event's rules, a work must be created solely for the event in question (e.g. STONY Bingo! fills can be crossposted as Tiny Reverse Bang fills and used for other Bingos). All event works must be created by you (and any co-creators) and not derivative of someone else's fanwork without permission. For example, we ask that you don't use existing fanart for edits or videos, create a podfic, build upon someone's edits etc. unless the original fan creator has given explicit permission or has a transformative works statement that allows such use of their work.

We maintain a list of writers who have given blanket permission for podficcing here. If you would like to transform another creator's work, you can also look for transformative work statements in their AO3 or social media profiles.

If you don’t have a statement publicly available, or you have a statement saying that you don’t want your works to be transformed, and then you sign up to an event such as the Remix Madness challenge, which by its nature requires the further transformation of your work, then you are explicitly giving your permission to have your work transformed for that event.

If you are assigned a match or claim a work and would like to create in a language other than English, you must be sure that your partner/recipient has opted in to receive a work in that language. No matter the language it is created in, we ask that the work's masterpost information is in English as well, as that is the working language of the community.

After an event is over, you may build upon your event work as you would with any other fanwork you've made. That includes: writing a sequel, expanding the universe you've established, adding more works to the series, etc. Please note that only the original event work will be affiliated with the event in question with regards to AO3 Collections and Community Masterlists.

You must read through all event-specific rules and understand that you must meet any minimum requirements to complete the challenge.

PARTICIPATION ETIQUETTE
Beta reading isn't required for any event works, but is recommended. If you're looking for a beta reader or would like to sign up to be one, please take a look at our Beta Reader List.

All participants must keep an open mind and enter an event in good faith. You should not sign up expecting to be matched to specific recipients or partners. We do not allow tandem sign-ups (pre-formed teams) in collaborative events such as Big Bang or Reverse Bang, and after claims and assignments are sent out, participants will not be reassigned.

Our collaborative events are about teamwork and communication. The level of collaboration in your team should be determined between you and your partner(s), but please remember to be courteous and keep in touch.

Don't forget our community's most important rule: be excellent to everyone.

Please keep in mind that the creator you are working with or assigned to is a fellow fan. All participants are doing their best to create works that will live up to the prompt(s) provided, while remaining faithful to their own sensibilities.

Remember to always thank creators for their gifts in exchanges and similar events, thank your collaboration partners and link to their work, be courteous, etc. Participants guilty of malicious behavior and excessive misconduct may be banned from the community and future events — see our Special Ban rules.

ANONYMITY AND REVEALS
In events where anonymity is required, please:
  • do not publicly disclose what ideas you are working on (e.g. you can say that you're creating for the Cap-IM RBB, but don't give away details that mean people will be able to guess which work is yours) until after claims/creator reveals
  • do not cross-post or share your work or parts thereof until after creator reveals or your posting day (whichever comes last)
  • redact any identifying information such as your beta reader or creator notes that link to a social media platform until after creator reveals
  • exclude any signatures (you can do a watermark using the AO3 url instead of a signature) until after creator reveals
  • for podfic, if you are uploading cover art or have written credits, please exclude your username until after creator reveals

Given the barriers to disguising the creators of podfics and fanvids, please post these as usual and observe the faux-anonymity of the work—refrain from sharing your work until creator reveals have happened. Our reasoning for this is that it's impractical to request two versions of the work, and there are innate qualities like voice recognition or editing style which cannot be hidden.

After the claims period or creator reveals are over, you can disclose which work is yours and/or who you are working with.

Throughout the duration of an event, you are encouraged to brainstorm or receive feedback from a beta via DM and other private methods.

CO-CREATION OF WORKS
Are creators allowed to work together for events? Yes!

When signing up as co-creators, e.g. when you're signing up as collaborating writers for the Big Bang, you will be seen as "one creator," and whatever piece you create together will only count as a single work. Any minimum work requirements will remain the same.

Please note that for events where creators are only allowed to sign up once, you may only sign up as a team or as individual creators.

We do not allow pre-established writer-artist teams or offer tandem sign-ups in collaborative events such as Big Bang or Reverse Bang. You may, however, sign up as a co-writing team (writers working together) or as a co-creating artist team (artists working together) for the respective writer or artist sign-ups/claims.



Deadlines, Defaults and Pinch-hits
Sometimes life happens and you have to default on an event. If you can't make a deadline for any reason, please let us know! Contact the event mods at [email protected] as soon as possible so we can find and contact pinch hitters to step in. If you think you need an extension, we encourage you to ask for one! All extension requests must be made at least one day prior to the posting date, and before any event-specific extension deadlines.

The penalty-free drop out deadline for collaborative events (Big Bang, Reverse Bang) is the claims date; other events will have the deadline noted in the event schedule if it is applicable.

DEFAULTING AND ITS PENALTIES
Defaulting means you haven't been able to fulfill the requirements of the event you’re signed up by the deadline. These defaulting policies do not apply to pinch-hitters.

Ways to default on an event include:
  • Missing the deadline without pre-arranging this with the event mods and your partner(s) if applicable

  • Withdrawing from an event after the penalty-free drop-out deadline

  • Submitting any of the following:
    • Unfinished works
    • Works that aren't stand-alone and complete
    • Works that fail to meet the event minimum requirement (e.g. the minimum word count)
    • Works that disregard event requirements (e.g. don't focus on Steve and Tony, are an ineligible worktype, ignore an assignment's DNWs)

Note: Case-by-case exceptions are made depending on circumstance, so please reach out to the event mods to explain your situation.

Participants who default on an event will be temporarily ineligible to sign up for cap-ironman collaborative and exchange events for one calendar year unless they lift their ban earlier.
  • This includes the Big Bang, Reverse Bang, Holiday Exchange, Remix Exchange, Midyear Exchange and any other event that involves being assigned to create with or for a fellow participant.

Banned participants are still eligible to participate in other cap-ironman events such as Community Gifts, Remix Relay, Tiny Reverse Bang, the Kink Meme, Comment Bingo and STONY Bingo.

If a creator is already signed up for another collaborative or exchange event when they incur a temporary ban, then their participation in that event won’t be affected.

LIFTING A BAN EARLY
Your temporary ban will be lifted before a calendar year has passed if you do any of the following:
  • complete the work that was defaulted upon.

  • produce a new work for any [community profile] cap_ironman prompt or open fest (this includes but is not limited to: STONY Bingos, Kinkmeme, past Community Gift and Anniversary fest prompts) that satisfies the defaulted work's minimum fanwork requirement.

  • produce a number of works for any [community profile] cap_ironman prompt or open fest which together add up to the minimum requirement of the event defaulted on and also satisfy the prompt or fest guidelines (this includes but is not limited to: STONY Bingos, Kink Meme, past Community Gift and Anniversary fest prompts).

  • Example: if a participant defaulted on a Big Bang fic, they could write 5x 1,000 word fills for STONY Bingo squares and 2x 10,000 word Community Gift prompt fills, which would collectively add up to the 25,000 minimum word count required for a Big Bang fic.

  • complete a pinch hit work for one of our [community profile] cap_ironman events successfully. Click here to sign up to our list of Cap-IM pinch hitters.

After successfully completing one of the above, a creator must contact the event mods by emailing [email protected] to lift their temporary ban early.

REPEAT DEFAULTS AND SPECIAL BANS
After the second time a participant defaults on an event and then unbans themselves within the one-year period, they will receive a warning to consider the commitments they make when they sign-up for cap-im events. On their third time defaulting from an event, there will be no option to lift the temporary ban early, even if they do post the defaulted work within that time. After the year is up, they will be permitted to once again participate in all [community profile] cap_ironman events.

Event participants who repeatedly default on events risk becoming ineligible to participate in all exchange and collaborative events. They will be contacted by the mods before such a ban goes into effect.

Event participants who exhibit deliberately malicious or otherwise unacceptable behaviour may be banned from the community, and thus banned from all community activities, including all events.

If you are being harassed, notice that someone else is being harassed, or have any other concerns, please get in touch with the mods as soon as you can. If the mods bring an issue to your attention, take the time to talk it through to help us understand what went wrong. Mods will review and treat all such communications with respect.



Posting Event Works

Most of our events and challenges require posting to Archive of Our Own. You may request an account here. Please note that it may take up to several weeks to receive an AO3 invitation. If you fear you won't receive an invitation on time, please contact us at [email protected].

Some events require Team Masterposts, and all events will have round-ups or a community masterlist at the end of the event. By participating in an event, you are agreeing that mods may use any banners and fanwork details when posting these on cap-ironman community platforms.

NSFW POLICY
NSFW works (works that are "not safe for work," works containing explicit or adult content) are allowed in all our events unless otherwise specified. Creators are individually responsible for posting their work, rating their work appropriately, placing warnings on their work, and minding who has access to their post, including:
  • Ensuring your work details and ratings are accurate on Archive of Our Own
  • Following all posting guidelines (under Ratings and Warnings) when posting in the Dreamwidth or LiveJournal community
  • Marking your work as sensitive, putting it under a cut or providing a link, or tagging it as NSFW on Tumblr if your blog setting is not 'explicit'
Our Tumblr currently does not reblog posts with explicit or 'not safe for work' content displayed. Such posts will be reblogged if said content is accessible through a link or hidden by a cut.
